Responsibilities
As a Data Capturer at Bidvest Facilities Management, you will play a crucial role in ensuring the accurate and timely capturing of financial data. The primary focus of your role will be working with invoices and reconciliations, verifying data, and liaising with suppliers to collect outstanding invoices. Your key responsibilities include:
- Invoice Validation:
- Verify if the invoices received are valid tax invoices.
- Ensure invoice details are accurate and match the condition scope.
- Data Capturing:
- Timely and precise capturing of financial data from invoices provided by suppliers.
- Identify and flag any significant discrepancies between interim records and actual invoices for resolution by the team leader.
- Supplier Communication:
- Contact suppliers via phone or email to request and follow up on outstanding invoices.
- Build and maintain strong working relationships with suppliers to ensure smooth invoice collection.
- Invoice Processing:
- Date stamp and scan all processed invoices onto the server.
- Update and process any rebilling invoices.
- Reverse incorrectly processed interim data to maintain data integrity.
- Consumption Tracking:
- Highlight any unusual high consumption before capturing the data.
- Follow up on zero consumption invoices to ensure all data is accurate.
- Filing and Administrative Duties:
- Ensure all filing is completed on time and in an organized manner.
- Maintain a strong focus on accuracy and attention to detail in all administrative tasks.
Requirements
To be considered for this role, you will need:
- A matric or Certificate in Finance.
- Intermediate-level skills in MS Excel and MS Outlook.
- SAP knowledge is advantageous.
- Excellent organizational and planning skills.
